What we collect

We only collect personal data that you choose to give us, or that you grant us access to for a client engagement. When you submit our contact form, we collect the information in that form: your name, work email address, website URL, and optionally your company name, audit type of interest, approximate site size, and the message you write. We do not run analytics scripts, advertising trackers, or third party profiling tools on this site.

If you become a client, we may also process business contact details needed to run the project, plus access credentials or invitations you provide (for example Google Search Console user access, analytics property access, staging logins, crawl tool exports, or log file samples). Those materials are treated as confidential client data and are used only to perform the scoped audit.

Why we collect it and the legal basis

We use inquiry data to respond to your message and, if you become a client, to communicate about the work. Under the UK GDPR and EU GDPR, our legal basis is your consent when you submit the form, and our legitimate interest in responding to business inquiries directed at us. For client project data and access materials, the legal basis is performance of a contract and, where needed, our legitimate interest in delivering and documenting the audit. We do not sell your data, and we do not use it for automated decision-making that produces legal or similarly significant effects.

How your form submission is processed

Our contact form is handled by Formspree, a third party form processing service. When you submit the form, your data is transmitted to and stored by Formspree so that it can be delivered to us by email. Formspree acts as a data processor on our behalf. You can review Formspree’s own privacy practices on their website. Depending on where Formspree processes data, your information may be transferred outside your country of residence, including to the United States, under the safeguards those providers maintain.

Third party processors

  • Formspree processes contact form submissions and forwards them to us.
  • Our hosting provider serves this website and may process standard server logs, such as IP addresses, for security and reliability.
  • Our email provider receives and stores the messages you send us.
  • Crawl and SEO tools (for example Screaming Frog, Sitebulb, Ahrefs, Semrush, or similar) may process publicly crawlable site data and exports you provide during a paid engagement. Those tools act under their own terms when we use them as part of the audit.

Google Search Console, analytics, crawl, and staging access

For many audits we ask for read-only access to Google Search Console and analytics, and sometimes staging or other non-production environments. You control those invitations. We use the access only to diagnose the site within the agreed scope. We do not use client properties for unrelated research, marketing, or training of third party models.

When the engagement ends, or earlier if you ask, you should remove our user access from Search Console, analytics, staging, password managers, and any shared folders. We will remind you to revoke access and will delete or return local copies of credentials and exports we no longer need, subject to any legal retention obligation. Do not send production admin passwords unless a separate written agreement expressly requires it; diagnostic work should not need publish rights.

How long we keep it

We retain inquiry data for as long as needed to respond and to maintain a record of the conversation, and then for a reasonable period afterward for legitimate business and legal reasons. If you become a client, we keep relevant project records for the duration of the engagement and as required by law or the service agreement. Access credentials and temporary exports are not kept longer than needed for the audit and any agreed retest window. You can ask us to delete personal data at any time, subject to any legal obligation to retain it.

Your rights

Depending on your location, you have rights over your personal data, which may include the right to access it, correct it, delete it, restrict or object to its processing, and request a copy in a portable format. To exercise any of these rights, email us at fabi@site-media.co.uk and we will respond within the timeframe required by applicable law. If you are in the UK or EU and believe we have not handled your data properly, you have the right to lodge a complaint with your local data protection authority.
